Frequently Asked Questions

Find answers to common questions about GFSN, how it works, and how to participate.

General Questions

GFSN (Global Food Surplus Network) is a student-led platform connecting surplus food from donors (restaurants, schools, events) to recipients (NGOs, food banks, communities). We ensure food safety through 4-level verification and reward all participants with impact credits that measure real-world outcomes.

Goal: Reduce food waste, feed those in need, and build a sustainable circular economy powered by community action.

GFSN is currently operating as a student-led initiative at Dubai British School JP. It is non-profit in nature—all donations are free, no fees charged to donors or recipients. All participants (including couriers) are volunteers or school staff.

Future: We're exploring formal registration as an NGO to expand operations and seek institutional support.

GFSN was founded by a group of students at Dubai British School JP who recognized the dual challenge of food waste and food insecurity in Dubai. The platform was developed in partnership with school administration, local NGOs, and logistics volunteers.

Leadership: Student council with oversight from school sustainability team and external advisor board.

GFSN launched its pilot program in January 2026. Currently in a 3-month pilot phase (Jan-Mar 2026) at school level, with plans to scale if impact metrics and stakeholder feedback are positive.

Pilot results will determine whether to expand to additional schools and NGO partners in Q2 2026.

Yes. All donations must comply with ESMA (Emirates Authority for Standardization and Metrology) food safety standards. Our 4-level verification ensures donors meet health requirements and proper documentation is maintained.

Recipients are responsible for final food safety assessment before distribution. GFSN provides liability documentation and clear responsibility assignment.

  • Already consumed or partially used items
  • Expired packaged goods
  • Homemade meals (unless from certified kitchen)
  • Raw or undercooked meat without certification

See full policy: Check our Food Donation Policy section.

  1. Register your account (name, organization, contact)
  2. Complete food listing form:
    • Food type & quantity
    • Ingredients & allergens
    • Storage conditions & temperature
    • Pickup window (date & time)
    • Health certifications (if applicable)
  3. Upload clear photos of food & packaging
  4. Submit for platform verification
  5. Once approved, receive notifications of matches

Timeline: Listing to approval: 30 minutes. Approval to pickup: 1-4 hours typical.

Yes! Donors can set preferences for which NGOs they'd like to work with. The platform will prioritize your preferred partners when making matches.

This helps build long-term partnerships and allows donors to see consistent impact from their contributions.

Note: If preferred partner is unavailable, system will suggest alternative matches.

GFSN's Liability Framework:

  • Donor is responsible for food safety at time of listing
  • Donor must provide accurate information about food origin & handling
  • Once courier picks up, liability transfers
  • GFSN is not liable if all verification steps are followed
  • Recipient does final food safety check before distribution

All documentation is maintained for audit trail. We recommend donors carry standard liability insurance (most businesses do).

Credit Formula:

  • 1 Meal Saved = 5 Impact Credits
  • 1 kg of Food = 1 Environmental Credit (CO₂ avoided from landfill)

Example: Donate 100 meals weighing 227 kg = 500 meal credits + 227 environmental credits = 727 total impact credits

Credits are issued upon recipient confirmation of delivery & distribution. Real-time tracking shows your growing impact!

GFSN can provide detailed documentation of in-kind food donations (estimated value based on USDA/local market rates). This documentation can support tax deduction claims.

Required: Ensure recipient is a registered charitable organization. We work exclusively with verified NGOs.

Recommendation: Consult with your tax advisor. In-kind donations are typically deductible if recipient is a qualified charity.

For Recipients (NGOs)

  1. Register as an NGO (provide organization details, certifications, contact)
  2. Create a food request:
    • Type of food needed (packaged, cooked, produce, etc.)
    • Quantity & estimated beneficiaries
    • Pickup preference (location, time window)
    • Dietary restrictions or allergies to avoid
  3. Submit request
  4. Platform notifies matching donors
  5. Receive notifications as donations arrive

Note: You don't have to request specific quantities—the platform matches available donations to your needs.

Absolutely not. Recipients have full autonomy to accept or reject any donation. You can decline for any reason:

  • Not matching your food type needs
  • Quality concerns
  • Timing doesn't work
  • Dietary restrictions or allergies
  • No reason needed—it's your choice

This ensures your organization only receives suitable donations for your beneficiaries.

All recipient NGOs must pass verification before receiving donations:

  • Organization legal status & registration
  • Charitable purpose & community service mission
  • Food storage & safety compliance
  • Distribution process transparency
  • Background check on leadership
  • Insurance coverage (liability & health)

Timeline: Verification typically takes 5-7 business days. This protects all parties and ensures food reaches legitimate organizations.

After receiving & distributing donations, confirm impact:

  • Number of meals served
  • Number of beneficiaries fed
  • Any feedback from recipients
  • Photo documentation (optional but encouraged)

Platform aggregates impact data and creates impact reports. This data helps donors understand real-world outcomes and drives platform improvements.

Benefit: Monthly impact reports show donors exactly how their contributions are helping. Transparency builds long-term donor relationships.

No cost whatsoever. GFSN is completely free for NGOs:

  • No registration fees
  • No transaction fees
  • No delivery charges
  • No hidden costs

Donations are provided at no cost. All logistics & platform services are volunteer-powered.

For Volunteers & Couriers

  1. Register on the platform (name, contact, availability)
  2. Complete volunteer waiver & parental consent (if under 18)
  3. Attend brief orientation (30 mins) on food safety & delivery protocols
  4. Get access to delivery requests
  5. Accept tasks & start earning volunteer hours & impact credits

Requirements: Must be at least 16 years old. Valid contact info. Reliable access to transportation (bike, car, or public transport).

Completely flexible. You choose your own schedule:

  • Accept only the tasks you want
  • Commit as little or as much as you can
  • No minimum hour requirement
  • Peak times: Friday evenings, school lunch hours

Recommended: Start with 1-2 tasks/week to get familiar, then scale up based on interest.

Currently: All volunteer-powered. No monetary payment at this stage. However, volunteers receive:

  • Volunteer Hours: Certified tracking for school community service requirement
  • Impact Credits: 10 credits per hour of service (redeemable for recognition)
  • Public Recognition: Monthly "Volunteer Heroes" leaderboard & spotlight
  • Community Recognition: Certificate of appreciation at year-end

Future: We're exploring optional micro-incentive program (small gift cards, discounts) for high-volume couriers by Q3 2026.

Most Important: The impact. You're directly helping families in need. That's priceless.

School-Based Coverage: GFSN operates under Dubai British School JP. Volunteers conducting school-sanctioned activities are covered under school volunteer liability insurance.

Personal Responsibility:

  • You're responsible for your own transportation safety (bike, car, etc.)
  • Follow all traffic & safety regulations
  • Take photos of food at pickup & delivery
  • Report any incidents immediately

GFSN provides clear protocols & documentation. Issues with food quality are logged—you're protected if you follow procedures.

We've got your back. 24/7 support available:

  • Emergency Contact: Platform hotline for urgent issues (food spoiled, delivery delayed, accident)
  • Chat Support: In-app messaging with platform coordinators
  • Protocols: Clear step-by-step guides for every scenario
